Robeco Switzerland Ltd. is responsible for the processing of your personal data as described in this Privacy and Cookie Statement.
We consider it important to ensure that we provide our services in a transparent, personal and reliable manner. Therefore, Robeco Switzerland Ltd. (“Robeco”) handles your personal data with care.
This Privacy and Cookie Statement describes, among other matters, the processing objectives, the data categories, the use of cookies by Robeco and how you can exercise your rights with regard to your personal data.
1. For whom
If you are a visitor of our website, an investor, a prospect, a representative or former representative, executive or Ultimate Beneficial Owner of a client or business partner of Robeco Switzerland, apply for a job with us, communicate with us, visit us or otherwise get in touch with us we will process your personal data.
2. Definitions
“Personal Data” means all information relating to an identified or identifiable natural person.
“Processing” means any operation with personal data, irrespective of the means and the procedures applied, and in particular the collection, recording, storage, use, modification, disclosure, archiving, deletion or destruction of data.
“Sensitive Personal Data” is a sub-category of personal data that includes information relating to race or ethnicity, religious, sex life, sexual orientation, political opinions, trade union membership, information about health and genetic and biometric data.
If you disclose data about other persons (e.g. family members) to us, we will assume that you are authorized to do so and that this data is correct and that you have ensured that these persons are informed about this disclosure, insofar as a legal duty to inform applies (e.g. by bringing this privacy policy to their attention in advance).

4. Personal data we collect and process
The nature of the information that we collect and process will depend on the services we provide and our relationship with you. It can consist of:
Master data: for example full name, title, gender, date of birth, passport number, national identification number, signature; other information about you and your relationship with us, photos, customer history, information about third parties. This may also include sensitive personal information such as political affiliation, political affiliation, and political affiliation;

Contract data: This is data that is obtained or processed by us in connection with the initiation, conclusion, execution or termination of a contract, e.g. information on the type of contract, contractual services, information on invoicing and customer service or financial data.
Other data: This may include, but is not limited to, the following data: Data in connection with legal disputes, official or judicial proceedings, photos, videos or sound recordings that we produce or receive from third parties and in which you are recognizable (e.g. at events, through security cameras), access data or rights (e.g. visitor list), data in connection with your position as a shareholder/investor of us.
5. How do we collect your personal data
We collect personal data in relation to you in a number of ways, including:
From you, for example when you communicate with us, in connection with contracts or when you use our website, but also when you provide us with personal data in connection with a Robeco product or service;
From third parties, fore example if you are representative of an organization that is a client or business partner of Robeco and that organization provides us with your personal data; or from seminar/webinar organizers/ content distribution platforms. We may also, for example, obtain data about you from credit agencies, address dealers, associations, contractual partners or analysis services. This includes in particular master data, contract data, communication data from communication with third parties, but also all other data categories specified above.
From public sources, such as from debt enforcement registers, property registers, business registers and online search engines and platforms (public or otherwise available) including via public profiles on social media;
If you do not provide the personal data requested, we may not be able to provide those products and services to you.
6. Purpose for which we process your personal data?
Communication: In order to be able to communicate with you, we process data from you (in particular master data and communication data, in connection with services used by you possibly also registration data). We may listen to or record telephone or video conferences for training, evidence and quality assurance purposes. In such cases, we will notify you separately (e.g. by displaying a notice during the video conference in question) and you are free to tell us if you do not wish to be recorded or to end the communication (if you only do not wish your image to be recorded, please turn off your camera).
Marketing purposes and relationship management: We process your data for marketing purposes and relationship management, namely to send or display personalized advertising to our customers, other contractual partners and other interested parties. For this purpose, we process in particular contact data that we have received, for example, within the framework of the contractual relationship or during your registration.
Regarding newsletters and other mass electronic advertising, Robeco will always provide you with an easy way to object to the processing and sending. You may opt-out of receiving newsletters or refuse or withdraw consent to be contacted for promotional purposes at any time by notifying us.
Initiation, conclusion and execution of contracts: With regard to the conclusion of a contract with you or your employer or client, we may process in particular your contact details, photos, powers of attorney and information about third parties (e.g. contact persons), contract contents, creditworthiness data or other data that you provide to us or that we receive from third parties.
In order to fulfill or enforce contractual obligations, we process in particular your contact data, contract contents and other data that we have received in connection with the conclusion and execution of the contract (e.g. also payment information). We also process personal data for customer support or the enforcement of contracts.
Compliance with laws, directives and recommendations from authorities and internal regulations (compliance): Data processing may take place for the purpose of compliance with laws (e.g. combating money laundering, tax law obligations) or also in the case of internal or external investigations. For this purpose, we process in particular master data, contract data, communication data and financial data, but in principle also data from other data categories mentioned. We also process this data to comply with other obligations (e.g. self-regulation, industry standards, our own corporate governance).
Operation of our website: When you visit Robeco's website, we process data (e.g. IP address, information about the operating system and settings of your terminal device, the region and the time and type of use) to ensure that the website functions as expected. Technical personal data is logged to ensure performance and security, which falls under the legitimate interests of Robeco. We also use cookies and similar technologies (see section 11).
To improve our website and other electronic offerings, we collect data about your behavior and preferences by, for example, analyzing how you navigate our website or how you interact with our social media profiles. We may also supplement this information with information from third parties (e.g., from publicly available sources).If you are visiting the Robeco website and share your personal data with Robeco through a web form (for instance when signing up for a webinar), we will use the web form or web page to inform you about the purpose of that specific data processing.
Security purposes and access controls: We process personal data to ensure and improve the appropriate security of our IT and other infrastructure. For this purpose, we monitor and control, for example, electronic access to our IT systems or physical access to our premises. We may test our IT infrastructures or create backup copies. For documentation and security purposes (preventive and for clarifying incidents), we also keep access logs or visitor lists in relation to our premises.
Job application: We process your data when you apply for a job with us for the purpose of reviewing the application, carrying out the application process and, in the case of successful applications, for the preparation and conclusion of a corresponding contract. In addition to communication and contact data, we process in particular the data contained in your application documents and data that we receive from third parties (e.g. references) or that can be viewed publicly(e.g. via social media).
7. To whom do we disclose information to?
In connection with our contracts, website, services and products, our legal obligations or otherwise to protect our legitimate interests and the other purposes set out above, we may also disclose your personal data to third parties, in particular the following categories of recipients:
Group Companies: Robeco Holding & ORIX Corporation
To provide global services and in the course of running our business, we may transfer personal data to another company within Robeco Holding B.V. or to another company within ORIX Corporation (Robeco’s parent company) that is based at a location outside of the country where you reside or where services are provided to you or to the organization or entity you work for. (for data transfer abroad see below).
Other third parties
Service providers: We work with service providers domestically and abroad who process data about you on our behalf, under joint responsibility with us or on their own responsibility (e.g. IT providers, consultants and other suppliers of goods and services, security companies, banks, insurance companies, lawyers).
Contractual partners: We share your data with customers and other contractual partners if a transfer of your data to them results from the contract.
Authorities: We may disclose personal data to offices, courts and other authorities domestically and abroad if we are legally obliged or entitled to do so or if this appears necessary to protect our interests. This may also include health data. The recipients process the data under their own responsibility.
8. Your rights
You have the following rights in relation to the processing of your personal data:
right to access: to request a copy of the personal data we process in relation to you and to be informed about how we use and share your personal data;
right to rectification: to have incorrect or incomplete personal data corrected or completed;
right to erasure: to ask that we delete personal data that we process in relation to you where we do not have a legal or regulatory obligation or other valid reason to continue to process it;
right to object to processing: to object to the processing of personal data if
right to data portability: to request a copy of your personal data that you have provided to us in a commonly used electronic format;
right not to be subject to automated individual decision making: to request that the automated individual decision is reviewed by a natural person.

To the extent permitted by applicable law or regulation we reserve the right to charge an appropriate fee in connection with you exercising your rights.
We may need to request specific information from you to help us confirm your identity and ensure your right to access to the personal data requested, or to exercise any of your other rights.

11. Cookies, similar technologies
11.1 What are cookies and similar technologies?
Robeco's websites make use of cookies. A cookie is a small file that is transferred between the server and your system and enables the recognition of a specific device or browser. Cookies enable recognition of a specific device or browser and do not necessarily contain information that personally identifies a user. However, personal data that we or third-party providers commissioned by us store from you (e.g., if you have a user account with us or these providers) may be linked to the information stored in and obtained from cookies and thus possibly to your person. Cookies can collect data that is linked to the use of our websites. This enables Robeco to remember your actions and preferences (such as login, language, font size and other display preferences) over a period of time, so you don’t have to keep re-entering them whenever you come back to the site or browse from one page to another.
11.2 How does Robeco use cookies and similar technology?
When using the website, data is generated that is stored in logs (esp. technical data). 11.6 Data processing on social media
Robeco operates pages and other online presences on social networks and other platforms operated by third parties and processes data about you in this context. In doing so, Robeco receives data from you (e.g. when you communicate with us or comment on our content) and from the platforms (e.g. statistics). The providers of the platforms may analyze your usage and process this data together with other data they have about you. They also process this data for their own purposes (e.g., marketing and market research purposes and to manage their platforms) and act as their own data controllers for this purpose. 12. Is your personal data transferred abroad?
We process and store personal data primarily in Switzerland and the European Economic Area (EEA), but in exceptional cases - for example, via subcontracted processors of our service providers - potentially in any country in the world.
If a recipient is located in a country without adequate data protection, we contractually oblige the recipient to maintain an adequate level of data protection (for this purpose, we use the revised standard contractual clauses of the European Commission, which are available here: https://eur-lex.europa.eu/eli/dec_impl/2021/914/oj? abrufbar sind; inklusive den für die Schweiz notwendigen Ergänzungen), insofar as it is not already subject to a legally recognized set of rules to ensure data protection and we cannot rely on an exceptional provision. An exception may apply in particular in the case of legal proceedings abroad, but also in cases of overriding public interests, if the performance of a contract that is in your interest requires such disclosure, if you have consented, or if obtaining your consent within a reasonable period of time is not possible and disclosure is necessary to protect your life or physical integrity or that of a third party, or if it concerns data that you have made generally accessible and you have not objected to its processing.
The right to object to the processing of your data as set out in section 8 applies in particular to data processing for the purpose of direct marketing.
13. Can this privacy policy be changed?
This Privacy Policy is not part of any contract with you. We may amend this Privacy Policy at any time. The version published on this website is the current version.
